Privacy policy

In short: Auxy Pro is the system a garage uses to run its work: job cards, quotes, invoices, and its messages with its customers, including on WhatsApp. We keep the data needed to do that, we do not sell it, and we do not use WhatsApp data for advertising, for building profiles, or to train machine learning models. To ask for your data or its deletion, write to support@autotek.io.
Who we are
Auxy Pro is provided by Autotek USA Inc., a Delaware corporation, and operated by Autotek FZCO, Dubai CommerCity, United Arab Emirates ("Autotek", "we"). Contact: support@autotek.io. Our general privacy policy for all Autotek services is at autotek.io/privacy; this page adds what is particular to Auxy Pro.
Our two roles
- For the people who use Auxy Pro in a workshop (owners, admins, service advisors, technicians, accountants), we decide how their account data is used.
- For a workshop's own customers, the workshop decides. We hold and process that data on the workshop's behalf, only to provide Auxy Pro to it.
What we hold
- Workshop users: name, email, sign-in by email and password or by Google, role in the workshop, the work time they record, and which of them did an action (for example who sent a message or added a note).
- The workshop: business name and contact details, its trade licence file, and its billing references with Stripe.
- The workshop's customers and cars: names, phone and WhatsApp numbers, email, tax number, car details (VIN, plate, make, model, year, odometer), photos taken at check-in, check-in signatures and the report signed, quotes, invoices and payment records (method and reference only; never card numbers), consents to be messaged, booking requests, and insurance claim records, whose files can include a driving licence and a police report.
- WhatsApp, when a workshop connects its own WhatsApp Business number: the customer's number, WhatsApp profile name and Meta's user id for that number, the messages, photos, voice notes and documents exchanged with the workshop, their delivery and read status, Meta's price note for each message, the workshop's internal notes on a conversation (never sent to the customer), and any request to stop messages.
How we use it
- To provide Auxy Pro to the workshop: its job cards, quotes, invoices, records and messages.
- To send the messages a workshop asks Auxy Pro to send from the workshop's own WhatsApp number, and to show the workshop its customers' replies.
- To keep the workshop's records accurate and secure, and to answer support requests.
We do not sell personal data. WhatsApp data is used only to provide messaging between the workshop and its customers: we do not share it except with the service providers below, do not use it for advertising or to build profiles of people, and do not use it to create, develop, train or improve any machine learning system.
Automated reading
Some Auxy Pro features send data to Google's Gemini service to do a piece of work for the workshop:
- a photo of a registration card or VIN plate, to read the VIN; the photo is sent whole, so a name or plate on it is sent too;
- check-in photos that the phone has checked for people, to note visible damage;
- the VIN and part and car details, to find part numbers, labour times and service schedules;
- what a technician types, photographs or records in Diagnostics;
- a supplier's reply, to read prices;
- the workshop's trade licence, to check it.
Customer names, phone numbers and plates are not sent with part, finding or supplier requests. No WhatsApp message is sent to Gemini.
Service providers
- Supabase: our database, file storage, sign-in and server functions. Servers in Mumbai, India.
- Netlify: hosts the Auxy Pro web pages.
- Google: the Gemini service above, Google sign-in, and Google Analytics on our web pages.
- Meta (WhatsApp): carries the messages of a workshop that connects its WhatsApp Business number. The workshop holds its own account with Meta and pays Meta directly.
- Stripe: the workshop's subscription. Card details are entered at Stripe; we never see them.
- Resend: sends team invitation emails.
- Brave Search: receives car and part details only, never personal data.
Where data is kept
Our database is in Mumbai, India. Our providers may process data in other countries. Meta keeps WhatsApp messages for up to 30 days under its own terms; for a newly connected number, Auxy Pro asks Meta to keep them in the United Arab Emirates.
Cookies and analytics
Auxy Pro keeps your sign-in in your browser. Google Analytics runs on our web pages, including the pages a workshop's customer opens from a link, to show us how the pages are used.
How long we keep data
- A workshop's records, including its WhatsApp conversations, are kept while the workshop uses Auxy Pro.
- Issued invoices and signed check-in reports are never changed or removed, as the workshop's legal record.
- A booking request that never became a job has its name, mobile, plate, VIN and concern blanked 90 days after the day booked.
- Meta's raw notices are deleted 30 days after they arrive. They hold copies of the messages. When a workshop keeps WhatsApp Business on its phone, they also hold the phone's WhatsApp contacts and up to 180 days of its chats. Chats older than 30 days are never added to a conversation.
- When a workshop deletes a customer, one line with the customer's name and phone number, who deleted them and when, is kept; the customer's WhatsApp conversation stays until the owner has it erased.
- When a workshop closes its account, we delete or anonymize its data within 90 days of its request, except records the law requires us or the workshop to keep.
Your choices and rights
- To stop WhatsApp messages from a workshop, tell the workshop. If it sends through Auxy Pro, you can also reply STOP. Auxy Pro then sends you no more updates or offers until you agree again. If you write to the workshop after that, it can still answer you.
- If you are a workshop's customer, the workshop decides about its records: ask it first. You can also write to us and we will pass your request to the workshop and help it act on it.
- Access, correction, deletion, a copy of your data, or an objection: write to support@autotek.io. We answer within 30 days.
- How deletion works, step by step: auxypro.com/data-deletion.
Security
Each workshop sees only its own data, and each role sees only what its work needs. Files are private. Staff open them through links that last 10 minutes. Photos in a check-in report sent to a customer open through links that last 14 days, for anyone who has that report link. A workshop's WhatsApp access token is kept in an encrypted vault that only our server can read.
Children
Auxy Pro is a tool for businesses and is not directed at anyone under 18.
Changes
We will post any change on this page with a new date, and tell workshop owners in the app or by email when a change matters to them.
